FileMyRent (filemyrent.co.uk) is the trading name of the UK business that is the data controller for the processing described here. Our limited company is completing registration; this page will name it, with its company number and registered office, when registration completes. Contact: hello@filemyrent.co.uk.
Your company's financial data is processed in memory to compute your preview, generate your filing pack and, only when you click submit, transmit your filings. It is not written to a database and is not retained after your request completes. We have no user accounts, no advertising, and no cookies at all. We never sell or share data for marketing. The handful of things we do keep are listed below, each with its reason.
Figures and details you type in (company name, registration number, UTR, rent, expenses, balances, the declarant's name, and, for Companies House filing, the company's authentication code) are processed transiently to perform the service you request. The authentication code and any Government Gateway credentials are used for the one submission you authorise and are not retained beyond it. Legal basis: performance of a contract. Retention: none beyond the life of the request.
The company-name lookup. If you use the search box, the name or number you type is sent to Companies House to fetch that company's public register details (name, number, accounting dates, filed accounts). This is public data about a company; we cache it in memory for a few minutes to respect Companies House's rate limits and do not store it. Legal basis: performance of a contract and legitimate interests. Retention: minutes.
Filings sent to HMRC and Companies House. When you click submit, your return or accounts go to HMRC or Companies House, who are separate controllers of what they receive; accounts delivered to Companies House appear on the public register, which is what filing them means. We retain a minimal submission receipt: company number, accounting period, timestamp, and HMRC's correlation ID or Companies House's submission number, with no financial figures, so that you and we can later prove a submission happened. Legal basis: legitimate interests (evidencing statutory filings). Retention: seven years.
Payments are handled by Stripe; card details go directly to Stripe and we never see or store them. We receive confirmation a payment happened, the amount, and the company number it was for. Referral codes are counted inside Stripe's records; we keep no separate marketing list. Legal basis: performance of a contract and legal obligation (accounting records). Retention: payment records six years.
Technical logs. Our hosting provider (Render, in the EU, Frankfurt) records standard web server logs (IP address, user agent, request path, timestamp) for security and abuse prevention, and we keep aggregate counters that contain no personal data. Request bodies, meaning your figures, are not logged. Legal basis: legitimate interests. Retention: about 30 days.
Email, if you contact us, is retained as ordinary correspondence. Legal basis: legitimate interests. Retention: up to two years.
The service saves your wizard progress and, after payment, a filing credit token in your browser's localStorage. That data lives on your machine, not our servers; clear your browser data and it is gone (a lost credit can be re-confirmed from your Stripe receipt; email us). Your filing pack, including the keys file that pre-fills next year, downloads to your device and exists nowhere else.
None. No analytics, no tracking, no advertising. If that ever changes, this page will change first and anything non-essential will ask for consent.
Hosting is on Render in the EU (Frankfurt). Stripe may transfer payment data outside the UK and EEA under its published safeguards (the UK addendum and standard contractual clauses). HMRC and Companies House are UK bodies.
Under UK GDPR you may request access, rectification, erasure, restriction and portability, and object to processing based on legitimate interests. Because we retain almost nothing, most requests will return almost nothing, but ask: hello@filemyrent.co.uk. We make no automated decisions with legal effects about you: filings are prepared for your review and authorised by you. You may complain to the Information Commissioner's Office (ico.org.uk).
The service is for company directors and is not directed at children. Material changes will be posted here with the date of change.
